You can set the recipients either right away when creating the report or afterwards via ‘Edit sharing’ in the report.
Emails can be sent for:
- Sharing a report
For recurring reports:- For each report edition (if no KPIs are selected for KPI notifications)
- Only if a selected KPI drops below the set limit (if KPIs are selected for KPI notifications)
- Sending CSV files
Sharing a new report right away
You can share a report directly when creating a new report.
- One-off report:
The email will be sent to the recipients as soon as the report is generated. - Recurring report:
The first email will be sent to the recipients as soon as the report is generated. Subsequently, emails will be sent for each new report edition.
Sharing existing reports
Existing reports can be shared via ‘Edit sharing’ or will be shared again if you edit a template of a shared report:
- One-off report:
- Edit sharing > Add recipients
> the added recipients receive an email - Edit template of a shared report > Regenerate
> all recipients receive an email
- Edit sharing > Add recipients
- Recurring report:
- Edit sharing > Add recipients
> the added recipients start receiving emails from the next edition onwards 1,2 - Edit template of shared report > Regenerate edition
> all recipients will receive an email for the regenerated edition 2
- Edit sharing > Add recipients
1 CSV files for previous report editions
If you start sharing CSV files for a recurring report that already has report editions, the CSV files will be sent from the next edition onwards. No CSV files will be sent for the previous editions. But if you do need CSV files for the previous editions anyway, you can manually trigger them to be sent:
- Edit the template (make a small unimportant change).
- Regenerate the editions for which you want the recipients to receive CSV files.
2 KPI notifications
If KPI notifications are set, emails will only be sent if a selected KPI is below the set limit.
